Thomas Commons Room Reservation User Agreement

Please review this agreement fully prior to making a room reservation.

All room and space reservations are subject to the same expectations regarding theft, vandalism, etc. as outlined in The Compass: Student Policy Handbook. Failure to comply with the reservation user agreement  and Compass policies will result in a warning; three warnings may result in the loss of a user or group’s privilege to reserve and use spaces on campus for the remainder of the school year. Gross misuse of privileges may result in immediate and permanent revocation of these privileges. 

Reservations policies

If specific priority groups or events need access to a space, your room reservations may be canceled or modified and a suitable substitute will be presented whenever possible.

 Room reservations will be prioritized as follows:

  • Board of Trustees, Homecoming, Commencement, New Student Orientation, Admissions
  • Classroom & select staff use
  • Clubs & organizations
  • Student study spaces
  • Other

Reservations should be made for the current semester only. If you need to plan further ahead, please contact the appropriate building manager. Events booked beyond the current semester may be subject to cancellation for priority events.

Space setup

Most rooms remain in a standard setup which is listed in Skedda and on a diagram in the front or back of those rooms. Groups are welcome to adjust the room setup to their needs (except in Smith Dining Room) for their event. At the end of your reservation window the room must be returned to standard setup prior to leaving the space. Assistance with special room setups for special events in spaces like Smith Dining Room and Hall Perrine can be requested with the help of the Info Desk or Facilities, and are subject to staffing levels and availability.

Space cleanup expectations

Spaces must be left in a clean and orderly condition when vacated.  Groups are requested to wipe down study spaces before and after use with materials from the centrally-located sanitizing stations. If additional assistance is required to clean a room, please contact the Information Desk.

Any damages or excessive cleaning needs must be reported immediately to the appropriate building manager and Facilities. If the user or group is found responsible for damages, they may be held financially responsible for repairs, replacement, or staffing costs associated with the damage and cleanup. They will also receive a warning strike against their booking and use privileges. 

Technology support

For assistance with in-room technology, or to access additional resources not typically in a space (I.e. OWLs, projectors, sound systems), please contact the IT help desk for assistance. Catering and food

Catering for groups Thomas Commons must be arranged through Bon Appetit. Please contact Catering Manager Christian Hindt for assistance with catering planning. Any outside food and beverage must be approved by the Catering Manager and/or Dining Service Manager. (i.e. ordering pizza). Contact Gavin Curless, Thomas Commons Manager if you are unsure of whether to contact catering.
