    CALLING PROCEDURES

    How to Make an On-Campus Call
    To make an on-campus call, pick up your phone and press the four-digit extension number you would like to call.

    How to Make a Local Call (Mt Vernon, Cedar Rapids, Lisbon, Marion and Hiawatha)
    To make a call that is local:
    1. Press "9" to get an outside line.
    2. Press the seven-digit phone number you would like to call.

    How to Make a Long Distance Call
    To make a call that is long distance (or requires an area code as part of the phone number):
    1. Press "9" to get an outside line.
    2. After the tone, enter 1 + area code + number.
    3. After the tone enter your 7 digit access code.

    How to Make a Calling Card Call
    To make a call using a calling card, review the directions on the back of your card. Each long distance calling card has different instructions. Contact your long distance calling card company for more information.

    How to Make a Collect Call
    To make a collect call, press "9" + 1-800-COLLECT (265-5328) or "9" + 1-800-CALL-ATT (255-5288). Follow the providers instructions.

    How to Make an International Call (You must apply for International calling through Phone Services at extension 4357)
    To make an international call:
    1. Press "9" to get an outside line.
    2. After the tone enter 011 + international country code + city code + number.
    3. After the tone enter your 7 digit access code.

    How to Send a Fax
    To send a document, follow the same directions as if making a local, long distance or international call (see above).

    To Report an Emergency:
    If you need to call for an emergency, please stay calm and provide as much information (location of the building, the floor, the room number, the nature of the emergency and a number where they can call back) to the emergency dispatchers as possible.

      Trouble on Campus
    • During the DAY or NIGHT - Call Campus Security at 333

      Life-Threatening Situations (fire, unconscious, broken bones, bleeding, affected by drugs, alcohol)
    • During the DAY or NIGHT - Call 9 + 911
    • Be sure to give the dispatcher the town we are located in (Mt. Vernon), the building where the life-threatening situation is occurring, and the floor and room number (if known) where this is occurring.

    Location of Outdoor Safety Telephones
    The campus now has nine campus security telephones. These can be used for on campus and local calls. Most of these phones have "blue lights" which come on at night to make locating them easier.
  • Commons - (blue light) Located on the circle drive at front entrance doors.
  • Norton Geology - (blue light) Located along the sidewalk just before you enter the parking lot for the Norton Geology building.
  • Rood House - (blue light) Located on left front entrance (if looking at front of house).
  • Pfeiffer Circle Drive - Located on the circle drive that goes by Dows, Pfeiffer and Tarr residence halls directly across the entrance to Pfeiffer.
  • Building & Grounds (B&G) - (blue light) Located on right hand side of path going south from turning off College Blvd and before reaching first student parking lot.
  • West Science - Located on the left wall of the outside entrance. This phone DOES NOT have a blue light.
  • Olin and Pauley/Rorem - (blue light) above an enclosed, press-pad only phone. At end of Olin parking lot and is diagonal from Pauley/Rorem.
  • Sports Center - (blue lights) Located in the parking lot of the Sports Center. There are two phones. One is located on the east end of the lot and the other is located at the west end of the lot.

    To use these phones, open the enclosed case. Press the "On" button to hear a dial tone. There are three ways to call:
    1. If you want to report an emergency, press 9 + 911.
    2. If you want to reach Campus Security, press the red button.
    3. Press the 4-digit extension for campus calls.

    Location of Outdoor Residence Hall Telephones
    The campus also has outdoor telephones at each of the residence halls. They are located:
  • Dows - North entrance
  • Merner - East entrance between double doors
  • Olin - North entrance
  • Pauley/Rorem - North entrance between two buildings
  • Pfeiffer - Main entrance
  • Tarr - North entrance
  • King Chapel - Southeast, ground floor entrance
  • Rood House- Left front entrance

    How to Use Your Single Line Telephone
    (For those with multi-lines or "supersets," see procedure manual given during DCI training)

    To Place a Call on Hold
    1. Press your hookswitch. You will hear the transfer dial tone.
    2. Dial 31 and hang-up.

    To Retrieve a Call on Hold
    1.Lift your handset.
    2. Dial #31 to be reconnected to the caller.

    To Retrieve a Call on Hold from Another Phone
    1. Lift your handset.
    2. Dial #32 and the extension number where the call was placed on hold.

    To Transfer a Call to Another Extension
    1. While you are connected to the outside party, press your hookswitch or flash key.
    2. Dial the four-digit extension number of the person you wish to transfer to.
    3. Announce the call.
    4. Hang up to complete the transfer.

    To Make a Conference Call (this can only be done from a Superset)
    1. Make the first call. When connected to the first call, press your hook switch or flash key.
    2. Make the second call. After the second call has answered, press the hook switch or flash key to join the party.
    3. Repeat the above steps to add more parties.

    Call Forwarding Procedures
    1.To forward to voicemail if not answered after four rings, press 326 7900 and hang up.
    2. To forward to voicemail if busy, press 322 7900 and hang up.
    3. To forward to voicemail always, press 356 7900 and hang up
    4. To set your voicemail to Do Not Disturb (DND), press *363 and hang up.
    5. To cancel any call forwarding procedures, press # and that number (326, 322 or 356) and hang up.
    6. To cancel the DND feature, press #363 and hang up.
    7. To forward your line to another phone, press 356 and the extension you wish forward your phone to and hang up.

    How to Transfer a Call Directly to Voicemail (In case the recipient is in a conference or doesn't want the phone to ring)
    Press 7000 plus '2' and the extension, then hang up to complete the call.

    On Campus Business Long Distance Access Codes
    To request a long distance access code to use for business purposes on campus you must request one through your department head.

    How to Pick up Someone else's Phone from Your Phone
    Press *65 and the extension you would like to pick up. If you are in a pick up group, press *66. (To create a pick up group, contact Phone Services at extension 4357)

    How to Prevent Fraud of Your Long Distance Code
    Under no circumstances should you give your long distance access code to anyone. If you believe someone has stolen your code or believe that your card is lost, notify Phone Services at extension 4357 immediately so your old code can be canceled and a new code issued.

    CONFERENCE CALLING

    From a Single Line Phone

    1. Make the first call, when connected press hookswitch or flash key
    2. Make the next call, when connected press hookswitch or flash key
    3. Continue step 2 until all parties have been called
    4. Dial 30 to Join all parties in conference

    From a Superset Phone

    1. Make the first call, when connected press trans/conf button
    2. Make the next call, when connected press trans/conf button this will join all parties
    3. To add another party press trans/conf button and dial number, when connected press trans /conf button, this will join all parties
    4. Continue with step 3 until all parties have been called

    Note: Up to 8 parties may be in a conference at one time, with a max of 5 off campus parties.

    YOUR VOICEMAIL BOX

    How to Set Up Your Voicemail Box
    1. Dial 7900.
    2. When you hear the recording, "Thank you for calling Cornell College…" enter your extension number.
    3. Record your first and last name. Press * when you are done. You will hear your name being played back. Press 2 to accept the recording without any changes or press 1 to re-record your message.
    4. You will then be prompted to enter the first three digits of your last name via the phone pad. Enter them. You will then be asked if you want to change them Press 2 for no. The system will then ask if you want to be included in the directory. Press 2 for no.
    5. You will be prompted to record a personal greeting. When finished, press *. Your message will be played back. Press 2 to accept your message without any changes or press 1 to rerecord your personal greeting.
    6. The system will ask if you'd like to set a personal security code. Press 1 for yes. Enter your personal security code (between 3-10 digits). Press * when complete. You will be asked to re-enter your security code. Press * when completed.
    7. You will be asked to verify that you are satisfied with the current set up. If you are, press 1 (you MUST complete this last step or you'll have to go back and do it all over again). Hang up the telephone.

    Receiving a Voicemail Message
    1.Dial 7900.
    2. Enter your security code.
    3. Press 1 to list to new and old messages. (NOTE: Once a message is reviewed, it will be transferred to an "old message" or "archived message" file. Old messages are left on the system for two days and deleted after that time has elapsed. Archived messages are left on the system for 30 days and deleted after that time has elapsed.

    To Retrieve Voicemail from a Phone other than Your Own on Campus
    1.Press 7000 and wait for the greeting.
    2.When the recording begins, enter 9 and your extension.
    3.Enter your security code.

    To Retrieve Voicemail from off Campus.
    1. Press 895-4004. (If out of local calling area, remember to include 1 + the area code).
    2. When the recording begins, enter 9 and your extension.
    3. Enter your security code.

    CELLULAR PHONE POLICY & CHECK-OUT PROCEDURE

    Reservations for cellular phones may be made through Phone Services by calling 4357 or emailing phone_services@cornellcollege.edu. The phones are to be picked up and returned to Phone Services located in 312 Law Hall.

    The daily rate for renting a cell phone is $2.00. The late fee per phone is an additional $1.00 per day ($3.00 total) until the phone is returned. Actual phone usage (toll calls) will be charged to the designated department account when the monthly billing is received. All calls (local and long distance) made during the period of time the department had possession of the phone will be charged back to that department. The reimbursement of any personal calls is the responsibility of the user's department.

    Damage or loss to a cellular phone is the responsibility of the person using the phone. The assigned department will incur actual repair or replacement costs.

    If you don't understand a procedure or your telephone is not working properly, report the incident to Phone Service Law Hall 312.

    FREQUENTLY ASKED QUESTIONS

    What do I do if I haven't received my long distance access code or have forgotten my long distance code?
    For a new faculty member, your access code needs to be requested by your department head. If an existing faculty/staff member loses or forgets their access code, the original code will be canceled and a new one established.

    Where can I get a phone?
    You can either buy a phone from an area discount chain or purchase one from Phone Services. These phones will be charged to your department's account. If you wish to purchase a phone through Phone Services, call 4357 with your request and an account number to be billed.

    I can't set up my voicemail box. Where can I go for help?
    If after following the online directions regarding how to set up your voicemail you still can't get your voicemail box set up correctly, call Phone Services at 4357 or stop by the office in Law Hall 312.

    Are there any quick actions I can take to delete a message or forward a message once I've listened to it?
    The following are "Quick Message Actions" you can perform to do various things with your message. Perform these actions immediately after you've listened to the message:

    Press 34 - to reply
    Press 35 - to check the next message
    Press 36 - to delete the message
    Press 37 - to archive the message for 30 days
    Press 38 - to hear when the message was sent
    Press 39 - to redirect the message
    Press 30 - to save the message as new (works with new, not archived, messages)
    Press 3# - to repeat the message
    Press * - to exit quickly, if you are using a touch-tone phone
